OFFICE POSITION – DISTRIBUTION DEPARTMENT

Daily tasks and assignments are assigned by the office manager. However, when implementing tasks and assignments, work is performed without immediate supervision. Performance is evaluated on productivity, attendance, accuracy, attitude, customer service and knowledge.

Tasks

  • Manage our largest distribution account – inbound product, outbound product, inventory, cycle counts, billing, customer service, project management
  • Answering telephones and email correspondence in a timely manner
  • Operate within our WMS (Ramp Data Systems), Appointment Scheduling System (OpenDock), and shared communication files in Excel.
  • Setup orders and inbounds according to quantity, SKU, lot, pallet ID, etc. ensuring accuracy.
  • Filing paperwork

Tools & Technology

  • To obtain an understanding of our Warehouse Management System (WMS), Ramp Data Systems.
  • To obtain an understanding of our Transportation Management System (TMS), Crown Data Systems.
  • Microsoft Word, Outlook, Excel, LoadProof

Skills

  • Intermediate understanding of excel – basic understanding of excel + formulas + pivot tables
  • Customer Service – ability to carry oneself with professionalism when communicating with customers
  • Self-motivation – while management sets the guidelines for expected completed work daily, employees work individually.
  • Active Listening - Giving full attention to what other people are saying, taking time to understand the points being made, asking questions as appropriate, and not interrupting at inappropriate times.
  • Time Management - Managing one's own time and the time of others.
  • Coordination - Adjusting actions in relation to others' actions.
  • Judgment and Decision Making - Considering the relative costs and benefits of potential actions to choose the most appropriate one.
  • Reading Comprehension - Understanding written sentences and paragraphs in work related documents.
  • Troubleshooting - Determining causes of operating errors and deciding what to do about it.
  • Speaking - Talking to others to convey information effectively.

Abilities

  • Typing – ability to type 45 wpm with 100% accuracy
  • Research Skills – The ability to research and identify issues within our WMS.
  • Filing and paper management – ability to keep an organized desk and file paperwork in accurate cabinets in a timely manner.
  • Problem Sensitivity - The ability to tell when something is wrong or is likely to go wrong. It does not involve solving the problem, only recognizing there is a problem.
  • Near Vision - The ability to see details at close range (within a few feet of the observer).
  • Spatial Orientation - The ability to know your location in relation to the environment or to know where other objects are in relation to you.

Work Activities

  • Managing our largest distribution customer from receipt to departure of product.
  • Respond to emails within 30 minutes
  • Getting Information - Observing, receiving, and otherwise obtaining information from all relevant sources.
  • Identifying Objects, Actions, and Events - Identifying information by categorizing, estimating, recognizing differences or similarities, and detecting changes in circumstances or events.
  • Performing General Physical Activities - Performing physical activities that require considerable use of your arms and legs and moving your whole body, such as climbing, lifting up to 50 pounds, balancing, walking, stooping, and handling of materials.
  • Communicating with Supervisors, Peers, or Subordinates - Providing information to supervisors, co-workers, and subordinates by telephone, in written form, e-mail, or in person.
  • Monitor Processes, Materials, or Surroundings - Monitoring and reviewing information from materials, events, or the environment, to detect or assess problems.
  • Making Decisions and Solving Problems - Analyzing information and evaluating results to choose the best solution and solve problems.
  • Communicating with Persons Outside Organization - Communicating with people outside the organization, representing the organization to customers, and other external sources.
  • Ability to work overtime when required.

Preferred Experience and Training:

  • 18 years of age
  • Valid State of Georgia driver’s license or state ID card.
  • High School diploma or equivalent.
  • Basic – Intermediate Microsoft Excel Experience
  • Ability to 45 words per minute with 100% accuracy
  • Experience using Microsoft Outlook
  • Subject to background and e-verify check
